Privacy Policy

This policy applies to authorised users of Pioneers OS, including franchisees, incubators, regional managers, and headquarters administrators, and to individuals whose information is entered into the platform (for example, property buyers or enquiry contacts).

2.1 Account and profile information

• Name, email address, and phone number
• Franchise or business name, region, and user role
• Profile photo (if uploaded)
• Account credentials (passwords are stored securely by our authentication provider; we do not store plain-text passwords)
• Invite and onboarding details when you are invited to the platform

2.2 Property, deal, and business operations data

When you use Pioneers OS, we process information you enter or generate, including:

• Property addresses and related property details
• Deal pipeline data (stages, dates, financials, budgets, scope of works, checklists, notes)
• Buyer and enquiry information (name, email, phone, budget, preferences, status, notes)
• Site diary entries, documents, and images attached to deals
• Marketing and sales performance data
• Capital, royalty, and financial reporting information
• 3P Review scorecards, compliance metrics, rocks, issues, and meeting records
• In-app notifications and activity related to your account

2.3 Third-party property data

When you search for or look up New Zealand properties, we may send address queries to Relab (or similar property data providers) and receive property information such as valuations, attributes, title details, and sales history. This data is used to support acquisition and deal workflows.

2.4 Optional connected services

If you choose to connect third-party accounts, we may process the following. OAuth access tokens are stored securely on our servers. You can disconnect integrations at any time from your profile settings.

2.5 Technical and usage data

• IP address, browser type, device information, and log data
• Session and authentication cookies
• Local storage used for preferences (for example, “Remember me” on login and regional manager “view as” mode)

We use personal information to:

• Provide, operate, and maintain Pioneers OS
• Authenticate users and manage access based on role
• Manage property deals, pipelines, buyers, reports, and franchise operations
• Send emails and sync documents when you connect Gmail or Drive
• Look up property information to support your workflows
• Send in-app notifications and operational communications (including account invites and password resets)
• Support regional managers and administrators in overseeing franchisee activity (including authorised “view as” access)
• Improve platform security, performance, and functionality
• Comply with legal obligations

We do not sell your personal information. We do not use Google user data for advertising or marketing.

If you connect Google services (Gmail or Google Drive), Property Pioneers’ use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• We access only the Google data needed for the features you enable
• We use Google user data only to provide those features
• We do not sell, rent, or share Google user data with third parties for advertising or marketing
• You may revoke Google access at any time via your Google Account permissions or by disconnecting the integration in Pioneers OS

We do not sell personal data. We may share information only:

• With service providers who help us operate Pioneers OS (Supabase for authentication, database, and storage; hosting providers such as Render; Google when you connect Gmail or Drive; Relab for property data lookups; email delivery providers for invites and transactional emails), under confidentiality obligations
• Within your organisation — authorised users (such as regional managers or HQ administrators) may access data according to their role and permissions
• With integrated systems — where configured, limited account setup events may be shared with linked Property Pioneers platforms to support onboarding
• When required by law — to comply with legal process or protect rights, safety, and security

Your information is stored using cloud infrastructure that may be located outside New Zealand (for example, Supabase and hosting providers). Where data is transferred overseas, we take reasonable steps to ensure it is protected in line with the Privacy Act 2020.

Files you upload (such as profile photos and deal documents) may be stored in Supabase Storage. Deal documents may also be synced to your connected Google Drive account if you enable that integration.

We retain personal information only for as long as necessary to provide Pioneers OS, meet legal or regulatory requirements, and resolve disputes. When you disconnect a third-party integration, we remove associated OAuth tokens from our systems. You may request deletion of your account data subject to our legal and operational retention requirements.

We implement reasonable administrative, technical, and organisational safeguards to protect personal information against unauthorised access, alteration, disclosure, or loss. These include authenticated API access, role-based permissions, and secure storage of integration tokens on our servers. No method of transmission or storage is completely secure — you are responsible for keeping your login credentials confidential.

Under the Privacy Act 2020, you have the right to access personal information we hold about you, request correction of inaccurate information, request deletion where applicable, and withdraw consent for optional integrations at any time.

Pioneers OS uses cookies and similar technologies to maintain your login session, remember your email if you select “Remember me”, and store local preferences (such as regional manager view-as state). You can disable cookies in your browser settings, but some features may not work correctly.

Pioneers OS is intended for authorised business users. We do not knowingly collect personal information from children.

Pioneers OS may link to or integrate with third-party services (Google, Relab, and others). Their privacy practices are governed by their own policies. We are not responsible for third-party websites or services outside our control.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date. Continued use of Pioneers OS after changes constitutes acceptance of the updated policy.
